RBG Kew Enterprises: Senior Event Co-ordinator

Overall Purpose of Job

To deliver mid to large scale private and corporate events, and oversee smaller events, at Kew, working with relevant internal departments and external 3rd party suppliers. To assist/deputise for Venue Hire Manager when required.


Key Result Areas

Venue Hire and Commercial Events

Deliver events within The Orangery and Temperate House at Kew, in accordance with current venue operational manuals, within standards and timescales agreed with the customer.

Oversee the delivery of all Cambridge Cottage events, assisting where necessary, ensuring that events are delivered on time and to customer requirements.

Assist the Venue Hire Manager in the effective operational delivery of large-scale events run by approved third parties in any permanent and temporary structures at RBG Kew.

Provide the highest level of customer service at all times ensuring that the customer receives the appropriate level and type of service that has been agreed.

Support external suppliers in their provision of services to events ensuring every assistance is given to aid their fulfilment to agreed standards.

Deputise for the Venue Hire Manager in her absence.

When required, assist Commercial Events Development Manager in the development of venue hire business at WP


Finance

Assist Events Finance Co-ordinator to facilitate & ensure that all invoices for venue hire, client recharges, agents and suppliers are raised accurately and on time


Keep detailed and accurate financial records of all projects to enable maximum use as a reference tool for future events.

Minimise and control internal costs by obtaining and verifying quotes for activities and monitoring successful delivery.



Health & Safety

Ensure that customers and event suppliers adhere to Kew’s Health and Safety and Sustainability policies during events. This will include ensuring that all relevant Risk Assessments & Method Statements are provided in accordance with Kew’s standards.

Deputise for Venue Hire Manager as Health and Safety representative for the department and attend internal H&S meetings when required.

Ensure that all events conform to Environmental legislation and meet Kew’s own sustainability policies.


Experience Required

· In depth knowledge and proven track record of organising corporate, & private events.
· Experience of successfully managing external suppliers/contractors
· Detailed working knowledge of Word, Excel and other Microsoft products
· Use of computerised diary booking systems, preferably Events Perfect

· Work calmly under pressure and to high standards
· Excellent written and oral communications skills
· Proven and effective Project Management skills
· Organised and efficient
· Good inter-personal skills to enhance/develop relationships with suppliers, contractors
· and clients
· Capable of working to and meeting deadlines
· Enthusiastic with a positive, proactive attitude
· Ability to work evenings and weekends on a regular basis
