Visit London, Commercial Department: Event Project Manager, Visit London Awards

PURPOSE OF ROLE

To grow the profile and successfully deliver against Visit London’s strategic objectives for the Awards including:

· To showcase the very best of London’s leisure and business tourism offer
· To engage the London consumer and promote a ‘Pride in London’
· To drive value for entrants and winners
· To drive sponsor value
· To increase coverage for a world-class industry event

The focus of this role will initially be on delivering the Visit London Awards but there will be opportunity to advise on and be involved in other commercial event opportunities as they arise.


DUTIES/RESPONSIBILITIES

· Project Planning

– Development of the overall project plan for implementation
– Development and activation of briefs including timelines and schedules for the individual elements
– Liaise and work with VisitBritain to ensure alignment with the Enjoy England Awards for Excellence process (includes attending EEAE Regions quarterly meetings, submitting content for Regional winners and co-ordination of attendance and presence at National awards)

· Financial Management

– Set and manage the Awards budget
– Ensure revenue targets are achieved
– Manage billing and invoicing for tickets and sponsorship

· Contract Management

– Manage contractual arrangements and fulfillment with the venue, external agencies, suppliers, sponsors and media partners

· PR and Communications

– Work with Visit London PR & Communications team to secure and manage relationships with Media Partners
– Develop and oversee implementation of an integrated communications plan for the Awards (identifying opportunities for both pre and post-event promotion across all media platforms)
– Liaison with sponsors, suppliers, partners and other stakeholders to ensure promotional opportunities are maximised


· Branding and Collateral

– Work with the Visit London Brand Manager and Graphic Designer to develop the creative design/branding for the Awards
– Develop and deliver all associated print material (e.g. event programme, tickets, winners map, award certificates)
– Manage the supplier and production process for award trophies including the timely provision of content

· Digital

– Work with the Visit London Digital team to deliver all digital requirements including but not exclusively the Awards microsite, People’s Choice Awards public voting and the development and management of an integrated online ticket sales process
– Other communications and promotions to increase awareness of Awards

· Sales and Sponsorship

– Work with the Partnerships team to secure sponsorship for the event
– Manage, administer, encourage and promote ticket sales
– Identify opportunities for generating additional commercial sponsorship/leveraging private sector income to support the awards

· Awards Entry, Content and Judging Process

– Develop the relevant content and manage the awards entry process
– Secure appropriate caliber of individuals for the judging panel and manage the judging process
– Develop relevant content and editorial for all print, online and other promotional collateral

· Production / Event Management

– Project manage the external production agency and maintain regular and effective communication
– Work with the appointed agency to develop the creative expression, content and running order for the Awards Night
– Identify, negotiate with and appoint Awards host and entertainment in conjunction with external production agency
– Organise and chair monthly Visit London internal Steering Group meetings
– Report into and advise Executive team on Awards planning, budget and internal staff requirements
– Develop the brief and work with London TV to produce and edit relevant content (VTs) for the Awards Night
– Encourage and manage pre-event promotion with the Media Partners (e.g. pre-recorded nomination VTs for TV coverage, hosting of competitions and coverage of promotional events))

· Evaluation

– Undertake a comprehensive evaluation of the event against objectives set, to include media coverage, sponsor satisfaction, guest feedback, etc

· Other

– Maintain database in line with Visit London data structure.
– Undertake other reasonable duties as allocated by the line manager.
– Advise on and be involved in other Visit London event opportunities as determined by the line manager

BUDGET RESPONSIBILITIES & MEASUREMENTS

· Manage the Visit London Awards budget
· Delivery against Visit London Awards revenue targets
