Main purpose: To provide a diverse range of administrative support functions combined with potentially more challenging new business proposals and live project support. The role will include assisting various Heads of Department and also involve providing project related logistics: acting as extra cover for live events/financial roadshows in London and occasionally around Europe. The role will suit somebody who is keen to get ahead in the events industry.
Role responsibilities: • Predominantly assisting the Head of Logistics the role will include providing secretarial and administrative support on a daily basis to the Logistics, Client Services, Production, and Creative departments. • Preparing detailed costings for roadshow projects • Providing support to new business with the creation of complex pitch documents • Booking venues for roadshow presentations • Organising and attending live events • Authorising / payment of supplier invoices • Monitoring / updating payments on spreadsheets • Resolving payment queries • Liaising with external suppliers • Maintaining an efficient filing and archiving system
Personal experience and attributes: • Previous office experience • Numerate, efficient, organised and conscientious • Excellent attention to detail • Keen interest in the events industry and experience of live events • Must have a flexible and pro-active attitude towards the job and be willing to put in the hours when necessary • The role will have a client-facing element to it, so the candidate will also need to be presentable and possess good communication skills • Advanced Microsoft Office (especially Excel and Powerpoint) • Foreign languages would be advantageous |
