CHRISTMAS ACCOUNT EXECUTIVE / MANAGER

REPORTING TO: KAT BRADBURY

The Ultimate Experience books central London venues for the entire Christmas season. We then design, market, sell and event manage the venues, organising corporate Christmas parties along with other events such as award ceremonies, charity parties and gala dinners.

Following a successful 2009 season, which saw the launch of a series of new venues including; The Artillery Garden at the HAC, Glaziers Hall and 28 Great Russell Street, we have just launched our Christmas Party venues for 2010.

In 2010 we will have fourteen central London Christmas locations. We are now looking for someone to join our Christmas team to help us sell and run events in these venues.

Sales
• Taking exclusive and shared Christmas party enquiries, sending out quotes and proposals promptly
• Proactively generating new sales opportunities
- contacting previous clients as allocated
- following up previous sales enquiries taken in the last year
- proactively researching new companies – by industry, location to venue etc.
• Keeping database up to date at all times, with client details and correspondence
• Conducting site visits to our Christmas venues describing the theme and the party, recommending the most appropriate venue for the client
• Presenting our venues to clients at their office
• Following the sale through to completion sending booking form, chasing signed forms, ensuring deposits are paid promptly etc.
• Compiling a booking information form for each event with all of the details as discussed during the sales process
• Updating sales literature as necessary (proposals, website)
• Liaising with caterers and venues regarding menus and costing. Updating necessary information and files
• Proof reading proposals, brochures and flyers
• Organising open days for clients and agents
• Building relationships with clients and proposing other Concerto Group companies for their events outside of Christmas


Operations
• Running a Christmas venue
• Building a relationship with the venue
• Planning the installation and strike for the venue
• Take on the clients booked into that venue, working with the client and sales person to design and plan the events
• Event managing the parties in the venue
• Financial responsibility, ensuing invoices and the database are accurate for all events in your venue
• Taking on clients and running a number of events in Ultimate Experience summer venues


General
• Sales/operational support to Senior Account Managers / Account Directors as and when required
• Ability to be flexible and assist as and when necessary with overall workloads and events if required

Ideal Person

The ideal person will:
• be self motivated and incredibly organised with strong administration skills
• require a good command of the English language both for creative copy and business letters.  
• have advanced word, excel and power point
• have previous event sales experience, possibly working for a venue
• be enthusiastic about the event industry, with good knowledge of central London party venues
